How do subscription notifications behave?

The Org. Administrator can change the subscriptions behavior in the Admin > Organization Detail section.



As a User, you can subscribe to email notifications through the menu Actions > Subscribe. A check box will show up to indicate if a subscription is already enabled.



If Manage Project permissions have been granted by the Org. Administrator, you can also send out notifications for other users, through the menu Actions > Subscribe Others.
You are then able to see and modify the items you are subscribed to by accessing My Profile > My Subscriptions tab.


By default, the Immediate notifications option is set but you can change this behavior to Daily, Weekly or Mute All Notifications. You can also Unsubscribe your notifications here.



Additionally, you can Mute notifications assigned by others on Show Items subscribed by > Others tab, unless that ability has been disabled by the Org. Administrator.


Other users are not able to unsubscribe themselves from items that you've subscribed them to but can Mute those subscriptions depending on the rights granted. However, you will not be notified if the users Mute the subscriptions you have assigned them. The same goes for subscriptions that you were assigned to by others.



Expected behavior when subscribing to Items within:

A Project



  • The user is notified when a change is made to the Item, Set, Component, etc.

  • The user is notified when a new item is added to the Project.

  • Users or Groups that are assigned to an Item will not receive the workflow transition notification to prevent users from getting duplicate notifications, as the subscription will override the workflow transition notification.

A Folder

  • The user is notified when a change is made to actual Folder.


  • The user is notified when a change is made to an Item within the Folder.

  • The user is NOT notified when a new Item is added to the Folder. However, if you subscribe to a set and you add a new Item to a Folder within the Set, user will be notified.
A Set

  • The user is notified when a change is made to the actual Set.


  • The user is notified when a change is made to Item within a Set.

  • The user is notified when a new Item is added to the Set.

Both Project administrators and Org. Administrators can consult and remove subscriptions assigned by them, from the Edit Subscriptions window, under the Users or User Groups tabs.



As a final note, notifications are completely disabled in Jama Software, when SMTP is disabled from the Root menu.

Hi Gary, thanks for asking this! The behaviour will vary as follows:

a) Subscribers will not be notified if a relationship is added, updated (going suspect or being cleared) or removed from an item.

b) Adding or removing attachments will not trigger notifications. The same goes for Tags and Links.

c) Subscribers will be notified of added/deleted comments and synchronized items. If a version is made current the user is notified of the changes done to the item, not of the version itself being changed.

Let me know if I let something out!

Following on with Subscribe and its notifications. Jama can you confirm what the behavior should be if a user is subscribed to an item, would a notification go to that user if:

a) a relationship of the item is added, updated (goes suspect) or removed ?

and

b) if an attachment is added or deleted ?

c) other subscribe based notifications surrounding the widgets

Hi Ryan, excellent explanation. What's the behavior when an item is deleted? At one point one Jama person and I almost believed that deletion will cause notification. I could never get it to work, but now I'm guessing it is because I subscribed to the folder rather than the set. swoo

Can you expand on why there's a difference in behaviour between subscriptions on a Folder versus a Set?

A Folder
  • User is notified when a change is made to actual Folder.
  • User is notified when a change is made to an Item within the Folder.
  • User is NOT notified when a new Item is added to the Folder. However, if you subscribe to a set and you add a new Item to a Folder within the Set, user will be notified.
A Set
  • User is notified when a change is made to the actual Set.
  • User is notified when a change is made to Item within a Set.
  • User is notified when a new Item is added to the Set.
i.e. Why wouldn't the user subscribing to an individual Folder want to be notified of new items added to the Folder?

I'd be curious to know more about the notifications your user received for the same event (a single closure). I would expect him to receive a notice for each person who finished the review, but not four notifications for "this review has closed."

Dear Carmen,

thank you for this note. What is the behavior for the review center?

One of our users reported me that he got four email notifications for one single review center event (review closed), which seems to me is a bug.

What a great question! There are options in the UI to subscribe to a Release, but they aren’t currently available. I am going to look into that.
