Exports from the
Office Templates menu are all considered contextual, which means they will reflect the items and view structure that the export is being run from. The below descriptions and examples reflect the exports from the
Default Word Export selected from the
Export to Word option or
Office Templates menu.
All of the default export reports will contain a cover page with the project name, set, who ran the report and date. It will also have a Table of Contents (TOC) on the second page. The contents of the TOC will be determined by the view the report is run from.
List viewThe
List View will be the default view for sets, folders, and components. It will organize items in rows and columns similar to what you would see in a spreadsheet.
When exported to a default Word report it will display the title page with the name of the highest level container, a table of contents to reflect the structure of the list view, and tables to display the information contained in each item.
The fields exported will be those viewed in the
List View. These can be toggled on and off by selecting the gear icon and checking or unchecking the available fields. Note that the description field will not be in a table cell. It will instead be displayed directly under the item’s name.
Reading ViewReading View can be accessed by selecting the
Reading View button next to
ListView. This gives you a complete hierarchy of the higher levels that contain the items.
The export will contain the usual TOC but the hierarchy will be reflected in the numbering system. The items themselves will no longer have the tables that the ListView had, rather it will resemble more of a traditional Word document.
As viewed in the Reading View, the document will only export the container(s), TOC number, ID, Name, and Description of each item represented.
Single ItemThe Single Item View can be accessed when selecting an item in the Explorer Tree as well as clicking on the item ID. This view's exported document will present itself much like the list view export, like a table. This will, however, be a more complete picture of the item.
The Single Item Export will contain information from the widgets of the item including the number of comments, connected users and relationship status of the item. The cells will also be populated by what is visible in the Single Item View. When you have the sub-item widget open a simplified version of the Single Item View will be exported with tables for the individual sub-items as illustrated in this
community article.
