Hello,

We have had repeated incidents where new users inadvertently send out mass notifications (900+ users) during Jama item creation/editing because of the following reasons:
  1. they are new users (not fully comprehending the notification feature)
  2. the notification feature is selected by default for all new users
As a result, accidental notifications do occur from time to time and it creates a lot of confusion as people receive Jama notifications about something not relevant to them.

Having consulted with Jama support about this issue (i.e. mitigation options), Carmen has suggested a very sensible feature which we think would be greatly beneficial to all Jama clients:
  • For ad-hoc notifications (i.e. one-time notifications), if the recipient list amounts to more than X users (X should be a system configurable value), a confirmation window should appear that explicitly warns the user prior to completing the action and sending out the notifications.  Example message:  "You are about to notify 957 users of this action, are you sure? (Yes/Cancel)"
An additional suggestion we think would be beneficial is to make the initial default notification selection (for all new users) a system configurable option.

Edit:  3rd suggestion:  Create a new configurable attribute for Jama user groups that allow/disallow the group to be used for notification purposes.  So for example, this attribute could be a toggle checkbox labelled "Allow for use in notifications", and if a user group does not have this checked, it would not appear on the notification dialog window in the user groups list of available groups.

Thanks for your consideration!
