Ability to see attachment during the review

Hello,

It would be good if a reviewer / approver can open an attachment attached to a reviewed item during the review. At this moment it is not possible to display / open the attachment that is related to the reviewed items in the review view. You have to open the review and in parallel to open the item to see attached files. This is not a request to review attached file but to see what it in the attached file. E.g. if the requirement or test cases are properly defined following a standard or screenshot mock-up etc.

    I've been considering how this might work for a little while. I would appreciate your thoughts on the following areas I'm not sure about:
    • Permissions: Would you expect that anyone invited to a review should have permissions to all attachments on reviewed items? In general Jama only allows users with access to the project to view attachments, so this would be a bit of a change.
    • User Experience: If in Review Center users could see a link to an attachment, would it be acceptable upon clicking to download that attachment? This way the reviewer could determine in what application to view that attachment (since they could be file types other than images).

    It is absolute useful, to have the attachment being accessible within Review Center.

    What we have done before the upgrade to 8.x: our users upload the attachment as link within the description field. So the user can click on the attachment in Review or on exported documents.

    Related to Permission: from the use cases we have: The Permission on attachment should be associated with the permission on the item, to which attachment belongs to (which war the case in the 2015.2 by uploading as link like the description above but not in 8.x). It is not useful the current Setting in Jama 8.x - Permission on attachment is the permission on Project.

    Regarding to permissions for the attachment
    I vote for this solution:
    - If there are reviewers / approvers within the project nor problem they have granted access
    - If the are out of the project reviewers / approvers there will be a dialogue with confirmation "Do you want to grant access to reviewed / approved items and related attachments for out of the project participants?" This is informed access approval granted by review creator / moderator.

    Regarding to user experience
    - Yes. It is acceptable to ask if the file shall be saved or open - standard browser dialogue

    Good idea, thanks for that thought on the permissions Vladimir. I shared that with the User Experience team to get their thoughts on the review setup flow. 

    At this stage we all agree at Jama it makes sense to give review moderators the option of including links to see the name of, and download attachments. It will probably manifest as an option in the specific review setup wizard, rather than set per item-type like other reviewable fields.

    What we debated just now is how risky the potential consequences are if someone shared an attachment accidentially to someone in a review. This would inform how aggressively we warn users during the setup ("...please ensure that the attached content is appropriate for download by all reviewers...") and how granular we get with access as you suggested (Viewable by a) All reviewers b) reviewers with item permission c) specifically selected individuals - please select). That's the next question so we know we're not overburdening the person trying to create a quick review by giving them smart defaults and options. That's always the tricky balance to keep. We'll keep digging and if we pick this up I'll post about it in the community.

    From a different perspective. How risk it can be if someone accidentally presents his PIN for a credit card.The responsibility is on anybody who owns PIN (attaches attachment).

    I would like to see something very simple. What about this:
    Global settings: - 2 settings
    [ ] Allow to see attached files during review - it allows the functionality in general (unchecked by default)
    [X] Request approval to allow to see attachments for reviewed items - if ensure that the confirmation dialogue is evoke (checked by default and available only if previous one is checked)

    In the review wizard (only if both previous options are on):
    [ ] Do you want allow people to see attached files? - (unchecked by default)

    If the first option is off there can be a warning in the review wizard that the attachments will not be reachable.

    There is still a question if we want to ask for confirmation / access approval only if people out of the project are invited for review. Because in fact people from the project can access any attachment in any item within the project. I'm not aware about any attachment access settings in Jama in general but there can be some mechanism that we are not using. Nevertheless even though there is an attachment access mechanism I would prefer to go with suggested solution and only to extend the confirmation to "Do you want allow people to see attached files? Access will be granted to all reviewers / approvers to all attachments attached to reviewed items."

    Agreed.  We would like to be able to have attachments show up in review center as well.  Please prioritize this feature.

    We really need the attachments to appear in reviews. Reviewers are missing vital information which is rendering the review useless. How can we review the item if all the information is not available.

    This is a functionality we need as well.

    Seeing attachments in the reviews is one of the top three improvements I would like to see made to Jama.

    We would like this feature as well (links and attachments).  Right now, we struggle to explain to users that they can use the Links/Attachments attributes, but must copy the link into the description for it to be visible in Review Center.

    Hello, I am attaching an excel spreadsheet as a link in the description field but the reviewers are still unable to open it and see the contents of the file.  Has this been resolved?

    +1. To get around this we are having to create PDF exports of any attachments we want reviewed and embed them as an iFrame (still requires all reviewers to have project read access)

    Hi Robena (and everyone else on here!),

    As many of the users on here are already implementing (including yourself), attachments can be accessible for reviewers by including a link in the description field. There is a caveat around that however in that only works for image file types, but now, with a bit of maneuvering, you can have any kind of attachment be accessible to reviewers as long as it's linked in the description field. As stated in our User Guide on this page about initiating a review, "If any fields in these items contain links to Jama attachments, reviewers will need at least project read permissions to view the attachments."

    So, to ensure your reviewers can see all attachments, you'll need to grant these reviewers read access at the project level. This won't give them actual read access to the entire project (as reviewers don't even have the Project tab), but it will allow reviewers to open up attachment links included in a review item.
