Automatic participants for reviews

Hello!

Is there a way to have participants automatically included in reviews?  For example, if we define a Jama item type with multiple person fields, is there a way to have the persons selected in these fields be participants for the review when the item is included for the review?

Along the same lines, is there a way to automatically include "user groups" to reviews?  Instead of having to select each participant manually one by one?

We have many participants in reviews and having this would facilitate the adding of numerous review participants (already there is the need to click once again per user potentially if they are to be approvers in the review).

Thanks,

victor

    Victor,

I have not seen this feature but this would be a great future enhancement.
On the same token, It would be nice to assign reviewers / approvers per each item type per project or tag per project.
For example, if we have requirements that are tagged QA Group, all QA engineers assigned to the QA Group will automatically be assigned as a reviewer / approver.

    That's a great suggestion, Ken!

Anything to make the tool easier to use would be great!  The motivation for my inquiry/request came from some of our users that were creating reviews but found the adding participants step to be tedious/difficult.  In our reviews there can be many participants and it was difficult to find the exact people to add to the review.

    Victor,

Most of the new moderators would have a difficult time setting up reviews. They would forget to invite a key reviewer or approver, then later have to add them after the review has started.
    In general, consistency is key.

    Hi Victor and Ken,

I have a couple thoughts and questions about this use case. Regarding the ability to add groups -- you can search for a group by name, and when you select it there's an option to "Add all users." That still allows you to pick and choose who from that group you want to include, and what role they should perform in the review. It's like a bulk add.
Search for QA group in RC
    Add all users RC
I've heard the request to automatically add users to reviews a few times based on different criteria. The way we would approach this challenge design-wise depends on who (what role) knows the full list of required participants, and whether or not that list of participants changes. Along those lines...
    1. What role at your organization is responsible for ensuring the right people are part of a review? Are they Jama users? Are they responsible for setting up or participating in reviews?
    2. How do the required participants for a review get determined? If we had a group show up based on an attribute (item type being reviewed, review type, etc.) would the "group" concept still be an issue by being inconsistent over time?
      • In other words, if you have a review of software requirements (with a SW Req item type) would it be constant which individuals should be included, or does it depend on which project, which release, which team, or other criteria that might make the group assignment hard to automate?
I hope the "group add" shortcut helps in the meantime as we learn about your review process!

    Robin,

What role at your organization is responsible for ensuring the right people are part of a review? [KG] Quality Dept.
Are they Jama users? [KG] Yes
Are they responsible for setting up or participating in reviews? [KG] No
How do the required participants for a review get determined? [KG] Job Title and sometimes SubSystem Feature
If we had a group show up based on an attribute (item type being reviewed, review type, etc.) would the "group" concept still be an issue by being inconsistent over time? [KG] Its up to the Project Manager with support from HR to be consistent and up to date.

Thanks, Ken. That's helpful. Your structure for who is included in a review does lend itself to simple automation. If other users have a similar situation this is a good candidate for improvement.
